Administrative Assistant I

Deadline: Open Until Filled. Job Description The Village is currently accepting applications for an Administrative Assistant I in the Public Works Department. Reporting to the Public Works Director, this position is responsible for performing a variety of routine clerical and administrative work in providing support to the department. QUALIFICATION AND EXPERIENCE Education and Experience High School diploma or equivalency supplemented by a minimum of two (2) years administrative experience, a minimum of one (1) in a government environment Diploma in administration, or other relevant field preferred Any equivalent combination of qualification and experience which provides the requisite knowledge, skills, and abilities for this job Necessary Knowledge Skills and Abilities Technical competence with Microsoft software suite of products Basic knowledge of budgeting principles Ability to establish and maintain effective working relationships with department heads, employees, Village officials, members of the community and the general public Thorough knowledge of modern office management, practices and procedures Proven ability to multi-task, meet various deadlines Ability to work independently and in a team-oriented, collaborative environment Skills in public relations, organization and time management Ability to communicate effectively verbally and in writing, compose effective and accurate correspondence and deal with non-routine matters. DUTIES AND RESPONSIBILITIES: Performs clerical, customer service, receptionist and administrative duties for the management and department. Answers in-coming calls and routes callers or provides information as required for the departments and Village Composes, types and edits a variety of correspondence, reports, memoranda, and other materials requiring judgment as to content, accuracy, and completeness Schedules appointments, and performs other administrative and clerical duties Performs routine clerical and administrative work in providing customers assistance, data processing, light bookkeeping and compiling data for various reports Responds to inquiries from employees, residents and other customers and refers, when necessary to appropriate persons Establishes and maintains department electronic and paper filing systems, along with the department’s record retention schedules Coordinates, manages and responds to public records and public information report requests Prepares and remediates public-facing documents to comply with federal ADA accessibility requirements Manages the procurement of department materials and supplies Coordinates the maintenance and care of selected office machines, troubleshoots minor problems and schedules servicing as needed Coordinates the maintenance of the department’s web page Collects incoming mail from Village Hall and processes daily; delivers outgoing mail to appropriate locations Attends committee and staff meetings as assigned Performs other related duties and assumes other responsibilities as necessary or as delegated WORK ENVIRONMENT Works in an office but may be required to assist with activities in an outdoor environment Occasional need to lift, carry, push and/or pull objects weighing up to 25 pounds Performs tasks involving extended periods of time at a keyboard or work.
